Introduction

Webmeeting123 Viewer allows you to attend a live Webmeeting123 meeting or replay a recorded meeting. You do not need to download or install the Viewer but need to have the following software installed on your computer:

  1. Microsoft Internet Explorer 6.0 or Mozilla Firefox 1.0
  2. Macromedia Flash Player 7.0

Currently the Viewer has been tested on the Windows OS and Macintosh OS X. It may work but has not been tested on other platforms.

You need to have a broadband connection (at least 200kbps downstream) to view a desktop sharing session during a meeting. The Viewer should work with any firewall settings.

The Viewer includes the following components:

  1. Title bar: includes a logo, menus, and a status bar
  2. Main window: displays an optional background image and shows any shared contents during a meeting
  3. Meeting windows: includes pop-up windows for meeting information, attendees, and instant messages

In addition, you can right-click a whiteboard, picture or shared screen to access the display menu.

Attending a Meeting

To attend a meeting, simply click the meeting URL sent to you by the meeting host. If you encounter a problem during a meeting, click the browser's "Refresh" button to re-join the meeting.

If you are attending a meeting created with Webmeeting123 or Webmeeting123 Professional, you will be asked to enter the following information:

  1. Your name or the email address you used to register for the meeting (if the meeting requires registration)
  2. A meeting password given to you by the meeting host (if the meeting requires a password)
  3. Optionally, your Skype account ID (if the meeting host has enabled Skype, an Internet phone service, for the meeting)

If the meeting has live audio webcast, you will be asked to enable Internet audio (independent of Skype). You need to have a speaker connected to your computer and make sure the sound volume is set properly. A "speaker" icon will be displayed in the status bar if audio is enabled. Clicking the icon can mute/un-mute the audio playback. You can only listen to the audio webcast.

Your name will show up in the attendee list of the meeting. If you enter an email address, the address must be the same as the one you used to register for the meeting.

If the meeting has a limit on the number of attendees and the limit is exceeded when you attend, you will get a message saying the meeting is full and will not be able to attend the meeting.

If you enter a Skype account ID, the meeting host can call you using Skype during the meeting. The Skype account ID is optional and you do not need it to attend a meeting.

Toolbar

During a meeting, you may see the following icons displayed in the Viewer main window. The drawing tools are displayed when shared contents are shown in the main window. Depending on the meeting settings, the drawing tools may only be enabled if the meeting presenter has granted drawing permission to you.

Pointer (click and drag to move object). You can only move or delete any drawing objects you created.

  Window tools
Grab window tool. This tool is enabled when "show all" is off. It allows you to drag and display different part of the content.
Show "Downloads" window, which allows you to download a document that the meeting presenter has sent to you (not available in VShow or VShow Professional meetings).

Display Menu

The Display menu allows to control the display size of the shared content or whiteboard. The display menu can be accessed by right-clicking the shared content area.

  1. Fit window: resize the whiteboard or picture to fill the entire display window.
  2. Half size: display the whiteboard or picture at half of the original size.
  3. Normal size: display the whiteboard or picture at the original size.
  4. Double size: display the whiteboard or picture at twice the original size

Meeting Menu

The Meeting menu is enabled when you attend a meeting created with Webmeeting123 or VShow Professional (not enabled for Webmeeting123 LE meetings). The Meeting menu contains functions you can use to view meeting information or interact with other attendees. Some of the functions are not enabled if you are playing a recording.

  1. Information: Show/hide the meeting information window
  2. Attendees: Show/hide the meeting attendees window
  3. Messages: Show/hide the instant message window, which allows you to send messages to the meeting host or everyone in the meeting. The window also shows links to any documents or Web pages that the meeting presenter has sent you. You can click the links to download the documents or open the Web pages.
  4. Show All: Show all windows
  5. Hide All: Hide all windows
  6. Raise Hand: Toggle on/off the display of a hand icon. This is used to alert the meeting host or presenter that you have a question.
  7. Mute Audio: Toggle mute/un-mute of audio playback. This function is enabled if the meeting has audio webcast and you chose to enable the audio when you joined the meeting. You can also click the speaker icon on the status bar to mute or un-mute the audio.
  8. Exit: Leave the meeting

Replay Menu

The Replay menu contains functions you can use to play a recorded meeting:

  1. Play: Start/resume playback
  2. Pause: Pause playback
  3. Event labels: Show meeting events and display current playback event.

If a recording has audio, the audio icon will be displayed in the status bar.
